Zoom's Internal Audit team reported success in cutting business process documentation time by up to 80 percent through the integration of AI features in the Zoom Workplace and Zoom Canvas platforms. This step addresses the challenges of manual documentation, which has previously consumed a lot of time and resources.
In their operations, the audit team must compile detailed business process narratives to meet compliance with financial regulations, such as the Sarbanes-Oxley Act (SOX) in the United States. This annual evaluation process, which involves more than 60 workflows and hundreds of coordination meetings, usually takes weeks when done conventionally.
Through the use of automated meeting transcripts processed by AI, drafting initial narratives can now be completed in less than five minutes. Verbal data from meeting recordings is directly converted into structured documents within Zoom Canvas without the need for a hassle-prone copy-paste process between applications.
Although AI technology takes over most of the initial administrative work, the human role remains crucial in the final alignment, data validation, and prompt engineering phases. This hybrid process provides room for professionals to focus more on risk analysis and strategic decisions rather than clerical work.
This automation method is not limited only to financial compliance audit needs. Similar applications are considered to have high potential for drafting technical desktop procedures, business requirement documents (BRD), and supporting large-scale digital transformation projects across various industrial sectors.
