Amid debates over the effectiveness of artificial intelligence (AI) in the workplace, Zoom's internal audit team has successfully proven that the integration of this technology can revolutionize operational efficiency. Through internal trials, the use of Zoom Workplace and Zoom Canvas features reportedly cut the duration of business process documentation by up to 80 percent. This breakthrough replaces manual note-taking methods, which have long been deemed time- and energy-consuming.
Previously, the internal audit team had to compile compliance documentation for the Sarbanes-Oxley Act (SOX)—a strict U.S. regulation governing financial reporting standards for public companies. This compliance process requires evaluating more than 60 transaction flows annually, involving at least 100 coordination meetings with various stakeholders. Traditionally, the team had to manually record the meetings, consolidate the notes, and then draft lengthy narrative reports that took one to two weeks to complete.
By leveraging automated transcription features and the artificial intelligence assistant in Zoom Workplace, the process of converting meeting conversations into draft documents now takes less than five minutes. The AI quickly extracts key points from meeting video recordings and compiles them directly into the Zoom Canvas collaborative workspace, eliminating the need for complex data copying between systems.
Nonetheless, this technology does not entirely eliminate the human role. The drafts generated by AI still require verification, manual editing, and final approval from stakeholders. However, even with an additional 4 to 20 hours of manual alignment, the total time saved still ranges from 80 to 90 percent compared to conventional methods without AI assistance.
This efficiency milestone is not limited only to financial audit compliance. The flexibility of these AI-based tools can be widely applied to draft technical desktop procedures, business requirement documents (BRDs), and other digital transformation designs. Ultimately, this automation allows employees to focus more on high-level risk analysis and strategic decision-making.
